Swim Meet 101

Swimmer and Volunteer Check-In Procedure

Check-In Process

  1. Arrival at the Meet:
    • Upon arriving at the meet, both swimmers and volunteers must check in with the designated Swimmer/Parent Volunteer Check-In Coordinator.
  2. Check-In Location:
    • The check-in station will be clearly marked and located  in our designated team area within the meet venue.
    • For swimmers:
    •  It is important to check in so that coaches don't remove you from relays or scratch you from the meet.
    • For Volunteers:
      • Thank you for your time!  If anything arises please text us
      • 925-326-7744
  3. Verification:
    • The check-in coordinator will verify the swimmer's and volunteer's details against the meet roster and schedules.
    • Any issues or discrepancies will be addressed promptly to ensure smooth participation.
    • Late Arrivals: If arriving after the start of the meet, check in as soon as possible to avoid missing any scheduled events or volunteer shifts.
    • Questions: Direct any questions or concerns to the check-in coordinator.

Swim Meet Essentials

To ensure a smooth and enjoyable swim meet experience, be sure to bring the following items:

1. Chair

  • Comfortable Seating: Bring a portable, collapsible chair to sit on during the meet. This will keep you comfortable while waiting between races.

2. Towels

  • Dry Off: Pack a large towel for drying off after races. Consider bringing an extra towel for convenience.

3. Blanket

  • Seating Comfort: A blanket can be used to sit on for added comfort and to keep warm, especially if it’s cool outside.

4. Pop-Up Tent or Shared Space

  • Shade and Shelter: If you have a pop-up tent or canopy, it provides shade and a designated area for your team. If not, coordinate with friends or teammates to share a tent.

5. Black Sharpie

  • Event Tracking: Use a black sharpie to write your meet events and heats directly on your arm. This makes it easy to remember your schedule. (Note: The ink washes off with soap and water.)

6. Sunscreen

  • Sun Protection: Apply sunscreen before arriving and bring it with you to reapply as needed. This helps protect your skin from sunburn, especially if the meet is outdoors.

7. Snacks and Water

  • Stay Hydrated and Energized: Bring water and healthy snacks to keep hydrated and energized throughout the day. This helps manage stress and maintain energy levels.

8. Coordinate Meals

  • Shared Duties: Work with other families to coordinate meals and share meet duties. This can reduce stress and ensure everyone is well-fed and supported.

By preparing with these essentials, you’ll have everything you need for a successful and enjoyable swim meet.
